Use Clinic Time Exceptions
Some institutions allow you use clinic time exception to help manage your schedule. You can add, edit, and delete clinic time exceptions (CTEs) to your schedule. You can enter single occurrences, or weekly or monthly recurrences of CTEs.
There are three methods to add a single occurrence of a CTE:
- Add a CTE for today.
- Add a CTE for a specific day.
- Add a CTE for a specific time on a given day.
To add a CTE:
- Begin the CTE by completing one of the following:
- Select the
icon. - Select a day cell (e.g. "Fri 1/23").
- Select a time cell.
DoctorAccess inserts the time you selected in the start time and adds 30 minutes to the end time.
Example: If you select the 9AM time cell, the start time field shows 09:00AM and the end time shows 09:30AM).
- Enter a reason for the CTE by performing one of the following:
- Click Description and enter a reason for the CTE.
- Click the
icon and from the list on the right, select a reason.
The reason entered auto-populates the Display Description field that displays in the calendar view.
- Select the
icon and edit the display description that displays in your schedule. - (Optional) From the Color drop-down list, select a color to change the default gray colored bar.
Example: Add : Perio Charting after the word Class.
Tip: Using a specific color for a CTE distinguishes the CTEs on your schedule.
- Click the Date field, and from the pop-up calendar, select a date.
- (Optional) If the CTE must be an all day exception, select the All Day check box.
- (Optional) If the CTE must be a partial day exception, select the start and end time fields, and use the
and/or
icons to select the time range.
- (Optional) If applicable, from the Only available in field, and select a clinic from the list.
Note: If you don't change the default (No clinic), you aren't available in any clinics for the date and time range selected.
- If the clinic time exception qualifies as a break, set the
indicator to Yes.
Note: The Qualify as a break option is not available if you have selected a clinic.
- Click Save.
Note: If the CTE you're adding conflicts with other scheduled events, a pop-up appears indicating that the CTE cannot be saved in DoctorAccess because of a scheduling conflict. However, this CTE may be added in axiUm.
If there's no scheduling conflict, the new CTE appears on your schedule.
Depending on your dental institution, you may be able to add weekly or monthly recurring clinic time exceptions (CTEs).
Example: Add a weekly lecture to your schedule that occurs on Monday at 1:00 pm.
To add a recurring CTE:
- From the toolbar, click the
icon. - Enter a reason for the CTE by performing one of the following:
- Click Description and enter a reason for the CTE.
- Click the
icon and from the list on the right, select a reason.
The reason entered auto-populates the Display Description field that displays in the calendar view.
- Select the
icon and edit the display description that displays in your schedule. - (Optional) From the Color drop-down list, select a color to change the default gray colored bar.

- Click the Date field, and from the pop-up calendar, select a date.
Note: If you selected the date from your schedule, the All Day check box will be selected. If you selected a time cell from your schedule, the All Day check box will not be selected.
- (Optional) If the CTE must be an all day exception, select the All Day check box.

(Optional) If the CTE must be a partial day exception, select the start and end time fields, and using the
and/or
icons, select the time range.
- Select the Recur check box.
Additional recurring fields appear.
- Complete the recurring fields:
- Select the week day(s) you want the CTE to recur on.
- (Optional) If you want the CTE to recur monthly, from the Week(s) drop-down list, select Month(s), and then from the First drop-down list , select the monthly recurring type.
- In the every field, enter a value to indicate the frequency the CTE will occur:
- (Optional) To change the default start date, select Starting on, and from the pop-up calendar select a new start date.
- Select Ending on, and from the pop-up calendar select the end date of the recurring CTE.
Example: Select Second so that the CTE recurs on the second week of every month.
Example: Enter a two to indicate every two weeks or two months.
The Starting on field appears above the Ending on field.
- (Optional) If applicable, from the Only available in field, and select a clinic from the list.

If the clinic time exception qualifies as a break, set the
indicator to Yes.

Click Save.
Note: If the CTE you're adding conflicts with other scheduled events, a pop-up appears indicating that the CTE cannot be saved in DoctorAccess because of a scheduling conflict. However, this CTE may be added in axiUm.
Note: If you don't change the default (No clinic), you aren't available in any clinics for the date and time range selected.
Note: The Qualify as a break option is not available if you have selected a clinic.
If there's no scheduling conflict, the new CTE appears on your schedule.
You can delete a single occurrence of a clinic time exception (CTE), or delete a recurring series, and/or delete ast instances of the CTE from your schedule.
To delete a CTE:
- Select a CTE that you want to delete.
- Complete the deletion using one of the following:
- Select the
icon. - Select the Delete Event button.
- From the drop-down list, select one of the following:
- Delete this occurrence.
- Delete the series.
- Delete the entire series (including past items).
DoctorAccess deletes the CTE(s).
You can edit a single occurrence of a clinic time exception (CTE) to change the day or time of the CTE.
To edit a CTE:
- Open the Scheduler tab and select a CTE that you want to edit.
- Depending if you are editing via the full or mobile site, use the applicable method:
- If using the mobile site, select Edit, the occurrence type, and complete one of the following:
- Click the description text and modify it.
- Click the
icon, and select a description from the list on the right. - If using the full site, click the
icon and complete one of the following:
- Click the description text and modify it.
- Click the
icon, and select a description from the list on the right. - Select the
icon and edit the display description that displays in your schedule. - (Optional) From the Color drop-down list, select a color to change the default gray colored bar.

You can edit a series or the entire series of CTEs to change the day or time of the CTE.
Besides editing a recurring CTE in the future, you can edit a recurring CTE in the past that affects only a single occurrence.
Example: You can edit the date if your dental institution tracks attendance, and you missed your regular Perio class earlier in the week, but attended another Perio class yesterday instead.
To edit a CTE:
- Open the Scheduler tab and select a CTE that you want to edit.
- Depending if you are editing via the full or mobile site, use the applicable method:
Note: If you're editing a CTE in the past, you can only edit it as a single occurrence.
